This checklist provides a starting point to plan for and manage disposables required for your office relocation.

It helps identify the key tasks you will need to undertake in advance of the office relocation, as well as, on the actual day of move and beyond.


1. IDENTIFY DISPOSAL REQUIREMENTS

a) Assign an internal project manager to co-ordinate the office relocation

b) Confirm the date of office relocation

c) Take a full inventory of your office furniture, equipment and contents

d) Identify upgrade and replacement opportunities

e) Get management approval for upgrade and replacement opportunities


2. PROCUE A DISPOSAL SERVICE PROVIDER

a) Research local disposal service providers in your area. *Tip: Many Office Relocation providers in the Greater Toronto Area (GTA) also provide disposal and storage services, like The Office Mover. If you are happy with your Office Relocation provider, ask them if they provide disposal (and storage) services. Typically, you can save money by going with one provider for both the office relocation and disposal services.

b) Shortlist service providers for disposal services (best practice says 3) in your area

c) Share disposal requirements and site details (both existing and new locations)

d) Request quotes from shortlisted providers based on disposal requirement and site details. *Tip: It is good to proactively provide a proposal template with specified format for price and service breakdown so that it is easy for you to compare apples to apples across providers.

e) Select & appoint a disposal service provider


3. PREPARE FOR THE DAY OF OFFICE RELOCATION

a) Finalize the specific timeframes and dates for the office relocation, at both the existing and new locations.

b) Secure access with security and for the freight elevators at both the existing and new premises according to the planned timeframes. *Tip: Request more time than anticipated just in case.


c) Assign specific color coding or labeling for items to be disposed during the office relocation.

d) Communicate colour codes or labeling for disposables with both office relocation and disposable provider(s).

e) Label disposables with the agreed upon colour/labeling.

f) Take inventory of items labeled as disposables against the initial disposable requirements list.


4. DAY OF OFFICE RELOCATION

a) Instruct the disposal team on items to be removed.

b) Audit the existing office location site to ensure all disposable items are removed.

c) Check the truck assigned to disposables to ensure items meant to be relocated to the new location are not in the mix.
